These Internal Regulations (“Regulations”) of the Studio Kay pilates studio, managed by Kaylani Studio S.R.L., a Romanian legal entity, headquartered in Bucharest, Str. Caloian Judetul no. 8, registered with the Trade Register under no. J2025054136002 with CUI 52194260 (“Studio Kay” or “we”), are an integral part of the Terms and Conditions concluded between you and Studio Kay.

These Regulations govern the access of members (“Members”) to the services provided within the studio, as well as the social conduct and internal operating rules.
By accepting the Terms and Conditions, the provisions of these Regulations and the GDPR Policy become legally applicable to all Members.
Members are obliged to always comply with the Regulations, as well as any other policies, procedures or announcements displayed on our website www.studiokay.ro and/or inside the studio.

1. Opening hours

The studio’s opening hours are displayed on the official website www.studiokay.ro.
Studio Kay reserves the right to change the studio’s opening hours or class hours at any time, and the changes will be communicated in a timely manner through the channels chosen by Members (e-mail, SMS, notifications in the member account).

Standard Studio Kay opening hours:
• Monday – Friday: 09:00–21:00 (break 14:00 – 16:00)
• Saturday: 10:00 – 15:00
• Sunday: Closed
• Public holidays: Closed

Customer relations hours:
• Monday – Friday: 13:00-16:00

2. Becoming a Member. Access to the Studio

Studio Kay Membership is acquired by creating a personal account (“Member Account”) on the website www.studiokay.ro and accepting the Terms and Conditions.

Access to the studio is exclusive to Members, based on reservations made and check-in made by the instructor upon arrival.

3. Class Reservations and Cancellations

Participation in pilates classes is subject to prior online booking.
Reservations, cancellations or rescheduling are made only from the client account, according to the modification policies presented on the website www.studiokay.ro and in the related Terms and Conditions.

4. Member Liability

By participating in Studio Kay classes, Members declare on their own responsibility that they are medically fit to practice Pilates exercises and that they participate at their own risk.

Studio Kay is not responsible for any accidents, injuries or discomfort resulting from failure to follow the instructors’ instructions, incorrect execution of the exercises or incorrect or false declaration of health status.

By accepting the Terms and Conditions, Members exempt Studio Kay from any liability in such situations.

5. Locker Room

The locker room is for exclusive use during the reserved class.
Overnight storage of items is prohibited. The locker rooms are equipped with a key and members are asked to lock their locker after storing their belongings and to keep the key safe throughout the class to avoid any inconvenience. Members are responsible for personal belongings stored in the locker room, and Studio Kay assumes no liability for their loss, damage or theft.

6. Required Equipment

Access to the gym is only allowed with appropriate sports equipment (tights, top, T-shirt, non-slip socks).
It is mandatory to use a personal towel.
It is prohibited to use the machines without special socks or wearing outdoor shoes.

Studio Kay offers shower products, hygiene products, hair dryer. Towels are not provided.

7. GDPR Policy

Studio Kay processes personal data in accordance with Regulation (EU) 2016/679 (GDPR).
Detailed information on data processing is available in the Privacy Policy published on www.studiokay.ro.

8. General rules of conduct and safety

• Smoking, alcohol, drugs or other prohibited substances are strictly prohibited.
• Access to the studio under the influence of these substances will result in immediate termination of the subscription, without refund of the amounts paid.
• Access with food or open containers is prohibited (only bottles or sports thermoses are allowed).
• It is prohibited to market, promote or offer services not affiliated with Studio Kay within the studio.
• It is prohibited to take photographs or film inside the studio without Studio Kay’s consent
• Any inappropriate, offensive or aggressive behavior towards staff or other members is prohibited.

Studio Kay reserves the right to select its members and to unilaterally suspend or terminate subscriptions, without notice, in the following cases:
• use of inappropriate or offensive language;
• physical or verbally violent behavior towards staff or other clients;
• smoking within the studio;
• taking photos or filming without consent
• fraudulent presentation of a medical certificate in an attempt to suspend the subscription;

In all these cases, the subscription fee will be retained by Studio Kay as damages, without the possibility of reimbursement.

9. Complaints and Notifications

Members who wish to bring any unpleasant event to the attention of Studio Kay or who are dissatisfied with the services provided must submit a written complaint within a maximum of 15 business days from the date of the event, either by e-mail to studiokaypilates@yahoo.com or by registered letter with acknowledgement of receipt.

Studio Kay will investigate the reported facts by all available legal means (including testimonies, video recordings, statements by staff, etc.) and will send an official response within 30 calendar days from the date of receipt of the notification.

Depending on the conclusion of the investigation, Studio Kay will apply the measures provided for in the Terms and Conditions, Internal Regulations and GDPR Policy.

10. Modification of the Regulations

Studio Kay reserves the right to modify, update or supplement these Regulations whenever necessary.
Any modification shall enter into force on the date of publication on the website www.studiokay.ro and/or upon display in the studio premises.

11. Health and Safety Regulations

Studio Kay complies with all applicable health and safety regulations. In the event of changes to these regulations, these Regulations and internal procedures may be updated without prior notice.
Members are requested to immediately inform staff if they notice any health and safety irregularities.

12. Other clauses

The common areas of the studio (reception area, training room and access corridors) are video-surveilled, in accordance with the legislation on the protection of personal data.

The purpose of the surveillance is to ensure the security of people and the protection of equipment on the premises, as well as to provide evidence in the event of complaints or incidents.

The images are not public and will not be used unless a competent authority deems this necessary, under the law.

By using Studio Kay services, Members confirm that they have taken note of and express their consent to the processing of video images for the aforementioned purposes.
